Responsibilities and Management Commitment

Overall responsibility for health and safety at London Man Van rests with senior management, who ensure that this policy is implemented, reviewed and updated as necessary. Managers and supervisors are responsible for promoting safe working practices, providing guidance and monitoring compliance with this policy.

Every employee has a duty to take reasonable care of their own health and safety and that of others who may be affected by their actions. All staff are required to cooperate with management in implementing safety measures, follow safe systems of work and report any hazards, near misses, accidents or unsafe conditions.

Risk Assessment and Safe Systems of Work

We conduct risk assessments for our core removal and transport activities, including manual handling of furniture and boxes, use of lifting equipment and operation of vehicles. These assessments help us identify potential hazards, such as heavy or awkward loads, trip hazards, poor access routes, weather conditions and traffic risks.

Based on these assessments we develop and implement safe systems of work and clear procedures for tasks such as lifting, carrying, loading and unloading, securing items in vehicles and working in and around clients premises. These procedures are communicated to all relevant staff and are regularly reviewed to reflect operational changes and best practice.

Training, Information and Supervision

London Man Van provides appropriate training to all employees so they can perform their roles safely and competently. This includes, as relevant to each role, manual handling techniques, safe loading and unloading, safe use of equipment, vehicle safety and awareness of site specific risks.

New staff receive induction training covering our health and safety expectations, emergency procedures and incident reporting requirements. Ongoing refresher training is provided as needed, and supervisors monitor working practices to ensure that safety procedures are followed at all times.

Manual Handling and Use of Equipment

Manual handling is a key part of removal work and presents significant risk if not properly controlled. We minimise manual handling risks by planning jobs to avoid unnecessary lifting, using suitable handling aids and ensuring that loads are shared between team members where appropriate.

Equipment such as trolleys, dollies, straps and blankets is provided to assist with safe moving and protection of goods. All equipment is maintained in good condition and used only for its intended purpose. Employees are instructed not to lift items that are beyond their capability and to stop work if they believe a lift or move cannot be carried out safely.

Vehicle Safety and Driving Standards

Our vehicles are essential to our service and are operated with safety as the priority. All drivers must hold the appropriate licence, follow road traffic laws and operate vehicles in a professional and responsible manner.

Vehicles are regularly inspected and maintained to ensure they are safe, roadworthy and suitable for the loads carried. Loads must be evenly distributed, properly secured and never exceed permitted weight limits. Drivers are instructed to allow sufficient time for journeys, avoid excessive hours and comply with company guidance regarding rest breaks, route planning and parking.

Customer and Public Safety

We recognise our duty to protect customers, visitors and members of the public who may be affected by our work. When operating at clients premises, we take steps to control risks such as trip hazards from packing materials, obstructed walkways, moving heavy items through shared areas and parking vehicles safely.

Where possible, we plan work to minimise disruption and communicate clearly with customers about the work being carried out. Our teams take care to maintain clear access routes, use caution when moving large or bulky items and remain alert to the presence of other people, including children and pets.

Housekeeping and Workplace Conditions

Good housekeeping is essential to safe operations. We ensure that work areas, vehicles and storage spaces are kept tidy, with waste and packing materials removed or contained to prevent slips, trips and falls.

Employees are responsible for ensuring that their immediate work area remains as safe as possible, including promptly dealing with spillages where safe to do so, stacking boxes securely and keeping access routes clear.

Incident Reporting and Investigation

All accidents, injuries, near misses and dangerous occurrences must be reported as soon as possible to a supervisor or manager. We record and, where necessary, investigate incidents to identify root causes and implement corrective actions to prevent recurrence.

We encourage open reporting and do not tolerate any form of victimisation related to raising genuine health and safety concerns. Lessons learned from incidents are shared with staff where relevant and used to improve our procedures and training.

Health, Welfare and Fitness for Work

London Man Van recognises the importance of employee health and wellbeing. Staff are expected to present for work in a fit state to perform their duties safely. The use of alcohol or illegal drugs during working hours, or reporting for work under the influence, is strictly prohibited.

Where employees have health conditions that may affect their ability to work safely, they are encouraged to discuss this with management so that reasonable adjustments and additional controls can be considered.

Emergency Preparedness

We maintain clear procedures for dealing with emergencies such as fire, vehicle incidents, serious injury and other unexpected events. Employees are briefed on how to respond, including raising alarms, contacting emergency services and protecting themselves and others from further harm.

Where required by the location or nature of the work, specific instructions will be agreed in advance with the customer and communicated to the team on site.
